Privacy Policy
Last updated 21 October 2026
AI Program in a Box is an Australian business. This policy explains what personal information we collect through aiprograminabox.com, why we collect it, who we share it with, and how you can access or correct it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
The short version
- We only collect what we need to send you the free sample, sell you the kit, deliver your files and issue your invoice.
- Card payments are handled by Stripe. We never see or store your full card number.
- Each file you download is marked with your email address and order number, so it can be traced if it's shared outside your organisation.
- We don't sell your information, and we don't add you to a mailing list when you request the free sample.
- Our own pages don't use analytics or advertising cookies.
1. Who we are
In this policy, "we", "us" and "our" means AI Program in a Box, the Australian business that owns and sells the kit. "You" means anyone who visits aiprograminabox.com, requests the free sample, signs up to hear about the launch or buys the kit.
You can contact us about privacy at any time at support@aiprograminabox.com.
2. What we collect
We collect personal information directly from you when you fill in a form, buy the kit or email us. We don't buy personal information from other sources.
| When | What we collect |
|---|---|
| You sign up to hear when the kit launches | Your email address. |
| You request the free sample | Your name, work email, company and role. |
| You buy the kit | Your name, email address, billing address and, if you choose to add one, your business's ABN or other tax ID. Stripe collects your card or other payment details directly; we receive only limited details such as the card type and last four digits. |
| You download your files | Your order number and the email address on your order, which we use to mark each file (see section 4). |
| You email us | Your email address, anything you include in your message, and our reply. |
| You visit any page | Technical information your browser sends automatically, such as your IP address, browser type and the pages you request. This is recorded by our hosting provider in standard server logs. |
You don't have to give us your personal information, but if you don't, we may not be able to send you the sample, process your order or deliver your files. You can browse the site without telling us who you are.
We don't ask for sensitive information (such as health information or political opinions). Please don't include it when you contact us.
3. How we use it
- To send you the free sample and, if you signed up, tell you when the kit launches.
- To process your payment, deliver your files and keep your download page working for the period stated at purchase.
- To issue your invoice and receipt, which Stripe emails to you on our behalf.
- To process upgrades from Starter to the Full Kit, which are linked to your original order.
- To answer your questions and provide support.
- To protect our licence, prevent fraud and misuse, and enforce our terms (see section 4).
- To tell you when the kit launches, if you signed up for that.
- To keep business, tax and accounting records, and to meet our legal obligations.
We don't use your information for automated decisions that significantly affect you, and we don't build marketing profiles about you.
4. How your files are marked
The kit is licensed for internal use by the buying organisation. To protect that licence, every Word, Excel and PowerPoint file you download, including the free sample, has a note added to its document properties. The note contains the email address on your order (or the email you entered for the sample) and your order number. It doesn't change the visible content of the files.
Anyone you share a file with can see this note in the file's properties. If a copy of the kit turns up outside the organisation that bought it, we may use the note to identify the order it came from.
5. Emails we send
We send emails you need: your invoice and receipt (sent by Stripe) and replies to your messages. If you signed up on the launch page, we'll email you when the kit is available.
Requesting the free sample doesn't sign you up to a mailing list. We won't send you marketing emails unless you've agreed to receive them, and any we send will let you unsubscribe, or you can email us and we'll stop. We comply with the Spam Act 2003 (Cth).
6. Who we share it with
We don't sell, rent or trade your personal information. We share it only with the service providers we use to run the site and sell the kit, and only as much as they need:
- Stripe, which processes payments, prevents fraud and creates and emails invoices and receipts. Stripe handles your payment details under its own privacy policy at stripe.com/au/privacy.
- Netlify, which hosts the website, stores our form submissions and the kit files, and runs the code that delivers your downloads.
- Google Fonts, which supplies the typefaces on our pages. Your browser requests them from Google, which receives your IP address and browser information.
- Our email provider, which hosts our support mailbox.
- Our professional advisers, such as our accountant, where needed for tax and accounting.
We may also disclose personal information where the law requires or allows it, for example to respond to a lawful request from a government authority, or to protect our rights if our licence is breached.
7. Information stored overseas
Stripe, Netlify and Google operate internationally, so your personal information may be stored or processed outside Australia, including in the United States and other countries where they or their sub-processors operate. We choose established providers that have their own security and privacy commitments, and we take reasonable steps to make sure they handle your information consistently with the Australian Privacy Principles.
8. Cookies
Our own pages don't use analytics, tracking or advertising cookies. When you go to checkout, Stripe's payment pages use cookies and similar technologies to process your payment and detect fraud. You can control cookies in your browser settings, but blocking Stripe's cookies may stop checkout from working.
9. How we protect it
- All pages are served over an encrypted (HTTPS) connection.
- Payments are processed by Stripe, which is certified to the PCI DSS Level 1 security standard. Card numbers never reach our systems.
- Kit files are kept in private storage and are only released after an order has been checked with Stripe.
- Access to our systems is limited and protected by passwords.
Keep your download link private. Anyone with the link to your download page can download your files until the link expires. If you think your link has been shared without your permission, email us.
No method of storing or sending information online is completely secure. If we become aware of a data breach that is likely to cause you serious harm, we'll notify you and, where required, the Office of the Australian Information Commissioner.
10. How long we keep it
- Purchase records (name, email, billing details, invoices and order numbers): for as long as Australian tax and business record-keeping laws require, generally at least five years after the purchase.
- Sample and launch sign-ups: until you ask us to delete them, or until we no longer need them to tell you about the kit.
- Support emails: as long as needed to deal with your request and keep a record of it.
- Server logs: for the period set by our hosting provider.
When we no longer need personal information, we delete it or remove anything that identifies you. We can't remove the note from copies of files that have already been downloaded.
11. Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it if it's wrong, out of date or incomplete. You can also ask us to delete information we don't need to keep by law. Email support@aiprograminabox.com from the address you used with us so we can confirm it's you. We'll respond within 30 days, and we won't charge you for making a request.
If we can't give you access or make a correction, we'll tell you why in writing, as the law requires.
If you're in the European Union or the United Kingdom, you may also have rights under the GDPR or UK GDPR, such as the right to object to processing or to data portability. Email us and we'll help.
12. Questions and complaints
If you have a question or a concern about how we've handled your personal information, please email us first and tell us what happened. We'll look into it and reply in writing within 30 days.
If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
13. Changes to this policy
We may update this policy when our services, providers or legal obligations change. We'll post the new version on this page and change the "Last updated" date at the top. If we make a significant change that affects how we use information we already hold, we'll let affected customers know by email.
